GENERAL

Office Clerk

This is routine clerical work performing clerical tasks which follow easily learned, established procedures and which, after learning, can be performed regularly without continual supervision. Employees in this class may be assigned to check each other's work for accuracy, and may perform a variety of these tasks on a regular or cyclical basis. Employees in the Keyboarding specialty perform routine keyboarding and clerical work typing form letters, memoranda, reports and other materials. The work includes operating standard computerized office equipment.

Work is performed under the immediate supervision of a clerical or administrative supervisor. Assignments are limited in nature and are performed in accordance with detailed instructions. Employees in this class are responsible for the proper performance of assigned clerical tasks.

Essential Functions

The Office Clerk is responsible for:

  • Posts information from one or more sources to various departmental, fiscal or other records, performs necessary computations to obtain cumulative, comparative or total figures.
  • Selects items for keypunching according to predetermined categories; codes information into categories; proofreads run-offs.
  • Sorts and files papers and forms alphabetically, numerically and by other categories into a predetermined file system; removes obsolete papers and forms at regular intervals.
  • Receives correspondence, forms, complaints; posts information concerning these forms to register or log; routes papers to proper sources; checks log or register at regular intervals and follows up to achieve completion of items.
  • Receives visitors; guides to proper destination; receives, screens and routes telephone calls, gives out standard department Operates office equipment for which no prior training or experience is required, such as adding, postage, calculators, facsimile machines, and photocopying machines.
  • Performs related work as required.
  • Types articles, form letters, memoranda, reports, tabulations, checks and other material from copy, rough draft, or a digital voice recorder
  • Utilizes a computer keyboard and mouse for typing and routine data entry and retrieval tasks
  • Posts personnel payroll, equipment, or other records; computes data from requisitions, statistical reports, time reports, or other records
  • Answers telephone and in-person inquiries
  • Routes visitors and calls
  • Operates computerized copiers and other office equipment to perform routine clerical tasks.
Required Knowledge, Skills, and Abilities

Knowledge Of:

  • the English language and spelling
  • arithmetic

 

Skill In:

  • making varied arithmetic computations with speed and accuracy

 
Ability To:

  • speak and understand fluently a specified non-English language and the English language for the Bilingual specialty
  • learn the operation of office machines
  • learn city regulations regarding specific clerical procedures
  • learn clerical procedures and routine readily
  • understand and carry out oral and written instructions
  • use a computer to perform clerical functions
  • make routine computations and tabulations accurately and with reasonable speed for the Keyboarding specialty
  • type at a speed level and within accuracy limits established to determine typing skills for the Keyboarding specialty

 

QUALIFICATIONS (EDUCATION AND EXPERIENCE)

Required: 

  • Education equivalent to completion of the twelfth school grade.
  • Sufficient training and/or experience to be able to understand and speak fluently and clearly in English and a designated non-English language.
  • Ability to physically perform the duties and to work in the environmental conditions required of a position in this class.
